This Privacy Policy explains how School Bus Pre Check (“we,” “our,” or “us”) collects, uses, stores, and protects information when you use the School Bus Pre Check mobile application and related services.

1. Information We Collect

• Account information, such as name, email address, mobile number, role, and profile details.
• Authentication information, including login verification data and security records.
• Operational records, including bus assignments, schedules, checklist submissions, and notification history.
• Device information used for notifications, such as device identifiers and push notification tokens.
• Location information submitted with checklist activity, including latitude and longitude when location permission is granted.
• Images or signatures uploaded through the app where required for service functionality.

2. How We Use Information

• To create and manage user accounts.
• To authenticate users and protect account security.
• To operate school bus scheduling and checklist workflows.
• To send service-related notifications, reminders, and alerts.
• To review reported checklist issues and maintain operational records.
• To comply with legal, safety, and administrative obligations.

3. Location Permission

The app may request location permission to record the location associated with checklist submissions and related safety workflows. We use location only for legitimate app functionality and do not use it for advertising.

Depending on device settings and app configuration, location access may be precise or approximate. You may deny or revoke location permission through your device settings. If you revoke permission, some checklist-related features may be limited.

4. Notification Permission

The app may request notification permission so we can send operational alerts such as schedule reminders, checklist reminders, missed-checklist alerts, and issue notifications. You may disable notifications at any time in your device settings or through any available in-app notification controls.

5. Sharing of Information

We may share information only as necessary to operate the service, including with:

• authorized organization administrators and directors;
• cloud, messaging, authentication, storage, and email service providers;
• legal or regulatory authorities when required by law.

Service providers may include, for example, Firebase Cloud Messaging, SMS providers, email providers, authentication providers, and cloud storage providers.

6. Data Retention

We retain personal data only for as long as reasonably necessary to provide the service, satisfy legal obligations, resolve disputes, and enforce agreements. Specific retention periods may vary by data type and operational need. Location and checklist records are retained for 1 month unless a longer period is required by law or contract.

7. Data Security

We use administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure. No method of transmission or storage is completely secure, but we take reasonable steps appropriate to the nature of the data we process.

8. Your Rights and Choices

Subject to applicable law, you may have the right to:

• request access to personal information we hold about you;
• request correction of inaccurate information;
• request deletion of your account and associated personal data;
• withdraw consent where processing is based on consent;
• object to or restrict certain processing activities;
• contact us with privacy questions or complaints.

9. Account Deletion

You may request account deletion through the app at [Settings > Account > Delete Account].

When a valid deletion request is completed, we delete or anonymize personal data associated with the account unless retention is required for legal, security, fraud-prevention, or regulatory reasons.

10. Children’s Privacy

The service is intended for authorized organizational users and not for use by children unless specifically permitted and managed by the relevant organization in accordance with applicable law.

11. International Transfers

Your information may be processed in countries other than your own. Where required, we use appropriate safeguards for cross-border transfers of personal data.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a revised effective date and provide additional notice where required by law.
